Department Summary:

The administration department provides the backbone of TORCHSTAR CORP's operation. In additional to the overall finance, administration, and operation function, the administration team also oversees human resource; data analysis; reporting; business development; communication and coordination.

Job Summary:

The Entry Level Office Assistant will employ a variety of analytical techniques to provide tools, reports, and resources to support data driven decision making for the administration team which will further the operation optimization, human resource management, and business development of the TORCHSTAR CORP. Additionally, this position will have oversight of the TORCHSTAR CORP department report database and monitor department performance from integrity of data, integration of overlay systems, and will execute reporting mechanisms to relay changes in department workloads and engagement behavior. The Entry Level Office Assistant also provides administrative support to the directors and performs routine administrative tasks for the corporate office.

Responsibilities include, but is not limited to:

  • Perform clerical duties, including but not limited to reporting, faxing, filing, data entry, scanning, etc.
  • Respond to data requests and pull data for department and operation using established workflows
  • Provide appropriate service, support, and troubleshooting to other departments regarding their workflows and issues
  • Manage external claim and reimbursement, perform auditing and reporting to the case results
  • Manage the department periodically progress reports
  • Maintain a positive and professional working relationship with peers, management, and support resources with a constant commitment to teamwork
  • May assist other departments with projects and/or assignments
  • Other duties may be assigned

Qualifications:

  • Bachelor's degree, or experience in an administrative or mathematical related position (preferred)
  • Proficient computer skills (i.e., Microsoft Word and Excel)
  • Familiar with Microsoft Excel performing advanced functions such as SUMIF, VLOOKUP, pivot tables, INDEX, MATCH, and macros (strongly preferred)
  • Excellent communication skills, including emailing and calling
  • Strong time-management, organization, and prioritization skills with the ability to multitask and meet multiple concurrent deadlines
  • Ability to work overtime if required
  • Candidates must have valid work authorization and be able to work in the U.S
